There is only so much time in a working day. For conveyancers, that time can disappear pretty quickly. An email comes in, a client wants an update, a document needs checking and another case needs chasing. Before you know it, the morning has gone and there are still plenty of things on the list.

That becomes harder when a firm is dealing with a growing number of cases. Keeping everything organised is one thing when there are a handful of matters. It is another when there are dozens moving along at different stages. This is where digital tools can make life a little easier.

It is not really about replacing the way conveyancers work. Most of the work still needs people. The useful part is taking some of the repetitive administration off their hands and making information easier to find.

Think about a typical case. There could be emails from the client, correspondence from an estate agent, search results, signed documents and notes about what needs to happen next. If all of that is kept in different places, finding one particular piece of information can take longer than it should.

QMP gives firms a central place to manage different parts of their conveyancing work. Case tracking allows staff to see what is happening with a matter without having to dig through an inbox every time they need an update.

That can be particularly useful when cases are all at different points. One might have just started, another could be waiting for searches and another might be nearly ready for completion. Being able to see that at a glance makes it easier to decide where attention is needed.

Getting new clients set up is another job that can take time. There are details to collect, documents to request and checks to arrange. When everything is handled manually, it can mean a lot of messages going backwards and forwards.

A digital onboarding process gives clients a clearer way to provide their information and gives the firm somewhere to keep it. QMP includes client onboarding within the platform, so the information collected at the start can sit alongside the rest of the case. Then there are the updates.

Clients want to know what is happening. Estate agents want to know too, and mortgage brokers may need information as a transaction moves forward. There is nothing particularly difficult about sending an update, but doing it repeatedly across a large caseload takes time. If you send ten similar emails in a day, that is ten jobs that have had to be fitted into the day.

QMP has automated progress updates for clients, estate agents and mortgage brokers. Routine information can be sent as a case moves through its stages, without someone having to write the same sort of message every time.

Of course, not every update should be automated. Sometimes a client needs a proper explanation or a phone call. That is where having more time available can actually be useful. Staff can concentrate on conversations that need their attention instead of spending so much time on basic progress messages.

Documents are another headache when a firm is busy. It does not take long to lose track of where something was saved, particularly when there are lots of cases running at once.

QMP provides secure document and data storage, giving staff one place to keep and find important information. Instead of searching through several folders or an old email chain, there is a central point to work from. There are also tasks such as identity and AML checks and getting documents signed. These are routine parts of the process, but they still take time.

QMP can work with DocuSign for electronic signatures and ICOS for identity and AML checks. Having these services connected to the wider process means staff do not have to treat every task as a completely separate job. The time saved on each individual task may seem fairly small. That is not really the point.

If a conveyancer saves five minutes here, ten minutes there and avoids a few unnecessary searches through emails, the difference starts to show when that is repeated across a large caseload. It can also make it easier for a firm to take on more work without simply adding more administration to the team.

That does not mean digital tools make conveyancing effortless. They do not. A property chain can still become complicated, searches can uncover something unexpected and another party can hold things up. Someone still needs to deal with those situations. What the technology can do is make the routine side of the job less of a drain on people’s time.

There is a benefit for clients as well. Buying or selling a home can be confusing, particularly when a client does not know what should happen next. Being able to keep people updated and having information readily available can make the experience easier to follow.

For a busy conveyancing firm, organisation matters. When cases, documents, client information and updates are spread across different places, it becomes harder to keep on top of everything.

QMP brings several of these areas together, including client onboarding, case tracking, secure document storage and progress updates. Having those functions in one platform gives firms a more straightforward way of managing the work behind their transactions. Digital tools are not going to remove the need for experienced conveyancers. They are there to support them.

When some of the routine jobs can be handled more simply, staff have more time for clients, more complicated cases and the parts of conveyancing that genuinely need a person’s input.

For firms managing a busy caseload, sometimes getting a few minutes back from several different tasks is enough to make the whole working day feel more manageable.
